How to Pick an ABM Platform: A Free RFP Template (60 Questions)

Picking an ABM platform is a multi-quarter, multi-stakeholder, six-figure decision that most teams treat like a SaaS subscription. The result is contracts signed against a sales deck, implementations that drift from the original use case, and renewals where the team realizes they bought the wrong tool a year too late. The fix is a real RFP. Below is a free, paste-ready 60-question RFP template you can drop into Notion or Google Docs and run today.

The 30-second answer

Run a 60-question RFP across six categories: data foundation, identification and signal, orchestration, integrations, analytics and attribution, and commercial terms. Score each vendor on a 1-to-5 rubric per question, weight the categories per your priorities, require live demos against your real CRM data (not sandboxes), and validate the top finalists with reference customers in your segment and stack. The whole evaluation should run six to ten weeks. Compress below six weeks and you are bypassing technical due diligence; stretch beyond ten and the team loses momentum.

Why most ABM-platform decisions go badly

Three common failure modes show up in post-mortem reviews of ABM platform deals that did not work:

  • Demo-driven decisions. The team picks the vendor with the most polished demo. Polished demos run on curated data; the operating reality runs on the team's real, messy data. Vendors that demo well sometimes implement badly.
  • Procurement-led decisions. Procurement runs the RFP without a working partnership with RevOps. The lowest-bid vendor wins. Pricing-only optimization buys the wrong tool 60 percent of the time.
  • Champion-only decisions. One executive champion signs the deal, and the team that has to use it daily was never consulted. The platform gets used at 20 percent of capacity and renewal is contested.

The RFP exists to fix all three. It forces the evaluation to be data-driven (not demo-driven), operations-led (not procurement-led), and committee-aligned (not champion-only).


The six categories and their weights

Recommended starting weights. Tune to your priorities; higher weight on categories where your motion is stronger or where the gap is most painful.

Pricing is intentionally a small slice. Cheap platforms that fail on the data foundation cost the team an order of magnitude more than the savings they produce. Score data and identification heavily; let pricing differentiate among vendors who pass the data and orchestration bars.


The 60 questions

Ten questions per category. Drop them into the RFP as-is or adapt the wording to your context. Each gets scored 1 to 5 by the evaluator (1 = does not meet bar, 3 = meets bar, 5 = exceeds bar).

Category 1: Data foundation (10 questions)

  1. How does the platform resolve identities across CRM contact, web visitor, and third-party data sources to a single account record?
  2. What is the canonical account ID? Does it map cleanly to our CRM ID without manual reconciliation?
  3. How are subsidiary and parent relationships modeled? Can activity at a subsidiary roll up to the parent for ABM purposes?
  4. How frequently is the underlying account data refreshed? What is the data freshness SLA?
  5. What is the documented match rate for visitor identification on B2B desktop traffic in our segment?
  6. What enrichment sources does the platform use, and what is the override hierarchy when sources disagree?
  7. How does the platform handle merged or renamed accounts (CRM merges, M and A activity)?
  8. Can we export the full account graph (account IDs, mappings, signal histories) at any time, in standard formats?
  9. What happens to our account-graph data if we churn? Can we export everything before contract end?
  10. What account-graph documentation is available for technical due diligence?

Category 2: Identification and signal (10 questions)

  1. How does first-party visitor identification work? IP-based, cookie-based, identity-stitching, or some combination?
  2. What is the documented identification match rate on a sample of our real traffic during evaluation?
  3. What first-party signals are captured natively (page views, form fills, content engagement, product activity)?
  4. What third-party intent feeds are integrated (Bombora, G2, TrustRadius, others)?
  5. How are first-party and third-party signals merged into a composite score?
  6. Can we configure custom signals (custom events, product-led signals, sales-engagement signals) into the score?
  7. What is the latency from signal occurrence to platform-side recognition? Real-time, hourly, daily?
  8. How does the platform handle privacy regulations (GDPR, CCPA, state-level US)? Documentation requested.

  10. Are signal-source weights transparent and tunable, or proprietary and black-box?

Category 3: Orchestration (10 questions)

  1. What audience-sync destinations are supported natively (LinkedIn, Google Ads, Meta, programmatic DSPs, others)?
  2. How are audiences refreshed? Real-time, daily batch, weekly?
  3. What is the workflow for promoting an account from tier 3 to tier 2 to tier 1, and how does it propagate to all downstream systems?
  4. How does the platform support buying-committee orchestration (role tagging, role-specific motions, committee-health scoring)?
  5. What automation is available for sales activation (chat-tool alerts, CRM tasks, AE notifications, SDR queues)?
  6. Can sales reps customize the alerts they receive without engineering involvement?
  7. How is web personalization handled, if at all?
  8. What sales engagement (email sequence, dialer) integration is offered?
  9. What out-of-the-box ABM motion templates are available?
  10. How does the platform support multi-product, multi-segment companies running multiple ABM motions in parallel?

Category 4: Integrations (10 questions)

  1. Native integration with our CRM (Salesforce or HubSpot or Microsoft Dynamics)? What objects, what direction, what custom fields?
  2. Native integration with our MAP (Marketo, HubSpot, Pardot, Eloqua)?
  3. Native integration with our data warehouse (Snowflake, BigQuery, Redshift, Databricks)?
  4. Reverse-ETL integration support? Native or via Hightouch / Census?
  5. API documentation: completeness, versioning policy, rate limits, breaking-change history?
  6. Webhook support: events available, payload structure, retry behavior?
  7. SSO and provisioning (SAML, SCIM)?
  8. Third-party tools we use that the platform should know about (list inserted by buyer): how is each integrated?
  9. What is the typical implementation timeline, and what does the implementation engagement model look like (vendor-led, joint, customer-led)?
  10. Provide three references in our segment with similar integration scope. Implementation duration, satisfaction, retention.

Category 5: Analytics and attribution (10 questions)

  1. What is the native reporting layer? Dashboards, exports, BI integration?
  2. What attribution models are supported (first-touch, last-touch, multi-touch, custom)?
  3. How is pipeline-influenced calculated? What is the touch-credit logic?
  4. How is pipeline-sourced calculated?
  5. Can we track win-rate lift against a holdout cohort?
  6. Are reports exportable to our BI tool? In what format and with what latency?
  7. What is the default committee-engagement metric, and how is it instrumented?
  8. Can we see the per-account engagement timeline at the level of granularity required for sales review?
  9. What is the program payback methodology in the platform's reporting?
  10. How does the platform handle reporting on accounts that exist in our CRM but have not yet engaged?

Category 6: Commercial and contract (10 questions)

  1. What is the pricing model (per seat, per account, per impression, flat fee, hybrid)?
  2. Is the contract annual or multi-year? Are multi-year discounts material, and what is the lock-in cost?
  3. What is the cancellation policy? Notice period? Early-termination terms?
  4. What is the data-export policy at end of contract? Format, completeness, time window?
  5. What is the implementation cost separate from license cost?
  6. What is the support model (named CSM, pooled support, self-service docs, premium tiers)?
  7. What is the SLA on platform uptime, support response, and data-refresh latency?
  8. What is the path for adding modules, seats, or capacity mid-contract? Is the pricing pre-disclosed or negotiated each time?
  9. Provide a representative customer-tenure distribution (1-year, 2-year, 3-year retention rates).
  10. Provide three customer references in our segment, with at least one churned customer (anonymized) so we can hear the cancellation story.

How to run the RFP

The questions are the easy part. The process is the hard part. A workable timeline and operating model:

Week 1: Internal alignment

  • Sales leadership, marketing leadership, and RevOps agree on the use case.
  • Document the ABM motion you are buying for: target segment, deal size, committee shape, current pain.
  • Tune the category weights against your priorities.
  • Build the vendor longlist (8 to 12 vendors).

Weeks 2 to 3: Longlist filter

  • Send the 60-question RFP to the longlist with a 14-day response window.
  • Score the responses using the rubric.
  • Cut to the shortlist of 3 to 5 vendors based on weighted score.

Weeks 4 to 6: Shortlist deep dive

  • Live demos for each shortlisted vendor, against your real CRM data (not their sandbox). This is the single most important step. Vendors will resist; insist.
  • Technical security review (SOC 2, SOC 3, ISO 27001, custom DPIA if needed).
  • Reference calls with three customers per vendor. At least one in your segment, at least one with a similar integration footprint, ideally one churned customer (anonymized via vendor or via your network).
  • Pricing comparison normalized to your account count and use case.

Weeks 7 to 8: Decision and contracting

  • Final scorecard review with the buying committee.
  • Recommendation memo with explicit trade-offs documented.
  • Contract negotiation: redline the standard MSA against your standard terms.
  • Implementation kickoff scheduled within two weeks of signature.

Weeks 9 to 10 (optional): Pilot

Some teams run a paid pilot before full commitment. The pilot is useful when the vendor has not been run on your data type before; it is overkill when the vendor has clear segment fit and strong references. Use judgment.


What the scoring rubric looks like

For each of the 60 questions, score on a 1 to 5 scale.

The category score is the average of the question scores in that category. The composite is the weighted sum of the category scores.

Important: any 1 in the data foundation, identification, or integrations categories is a deal-breaker, regardless of composite. A vendor that fails the data foundation cannot be saved by strong commercial terms. Filter for hard deal-breakers before letting the composite drive the call.


Common RFP mistakes

Asking for a sandbox demo

Sandbox demos are theatrical performances. Real demos are evaluations. Insist on a live evaluation against a slice of your CRM data, even if it requires a one-page DPA to share.

Skipping the churned-customer reference

Vendors will provide their best three references and avoid surfacing churned customers. Your network has churned customers; find one. The post-mortem from a churn is more useful than three glowing testimonials.

Letting the champion drive the rubric

If the champion sets the weights, the weights match the vendor the champion already prefers. Set the weights as a committee before you score any vendor.

Negotiating only on price

The biggest sources of total-cost-of-ownership variance in ABM platforms are not list price; they are implementation cost, lock-in clauses, expansion pricing, and data-export costs at end of contract. Read the full MSA, not just the order form.

Treating the RFP as a one-shot

Vendors evolve. The vendor that won your RFP three years ago may not be the right vendor for your current motion. Plan a vendor review at every renewal, even if it is a one-week sanity check rather than a full RFP.

Not documenting the trade-offs

Every shortlist vendor has strengths and weaknesses. Document them in writing in the recommendation memo. The team that inherits this decision two years later will thank you; the team that has to make a similar decision next year will reuse your scoring.

How long should an ABM-platform RFP take?

Six to ten weeks for a serious enterprise evaluation. Compress below six weeks and you are bypassing meaningful technical due diligence. Stretch beyond ten weeks and the team loses momentum, vendors lose patience, and the eventual decision is made under fatigue rather than evidence.

How many vendors should be on the longlist and shortlist?

8 to 12 vendors on the longlist; 3 to 5 on the shortlist. Longlists smaller than 8 miss vendors the team did not know to consider; shortlists larger than 5 cannot get the deep evaluation each one deserves.

Should we run a paid pilot before signing?

Optional. Paid pilots are useful when the vendor has not been run on your data type before, when the integration scope is large, or when the team wants risk-reduction before a multi-year commitment. Pilots are overkill when the vendor has clear segment fit and strong references.

What is the most important RFP question?

The data-foundation questions. Vendors that fail on identity resolution, account-graph quality, or data freshness cannot be rescued by strength elsewhere. Score data foundation first; cut anything that fails the bar.

Do we need an RFP if we already know which vendor we want?

Yes. The RFP is not just a vendor-comparison tool; it is a documentation tool that captures the operating commitments the vendor is making. If the vendor refuses to answer the RFP questions in writing, that is information. If the vendor answers and the answers contradict the sales pitch, that is information too. Do the RFP regardless.

How do we get reference customers who are willing to talk?

Three sources work in practice. The vendor will provide a curated list (use these but discount them slightly). Your network and LinkedIn produce uncurated references (use these for the unvarnished view). User communities (Pavilion, RevOps Co-op, Wizards of Ops) provide segmented references who often share post-mortems candidly.

An ABM-platform decision is too consequential to be made on the basis of a sales deck.
