Picking an ABM platform is a multi-quarter, multi-stakeholder, six-figure decision that most teams treat like a SaaS subscription. The result is contracts signed against a sales deck, implementations that drift from the original use case, and renewals where the team realizes they bought the wrong tool a year too late. Run a 60-question RFP across six categories: data foundation, identification and signal, orchestration, integrations, analytics and attribution, and commercial terms. Score each vendor on a 1-to-5 rubric per question, weight the categories per your priorities, require live demos against your real CRM data (not sandboxes), and validate the top finalists with reference customers in your segment and stack. The whole evaluation should run six to ten weeks. Compress below six weeks and you are bypassing technical due diligence; stretch beyond ten and the team loses momentum.

Three common failure modes show up in post-mortem reviews of ABM platform deals that did not work:
The RFP exists to fix all three. It forces the evaluation to be data-driven (not demo-driven), operations-led (not procurement-led), and committee-aligned (not champion-only).
Recommended starting weights. Tune to your priorities; higher weight on categories where your motion is stronger or where the gap is most painful.

Pricing is intentionally a small slice. Cheap platforms that fail on the data foundation cost the team an order of magnitude more than the savings they produce. Score data and identification heavily; let pricing differentiate among vendors who pass the data and orchestration bars.
Ten questions per category. Drop them into the RFP as-is or adapt the wording to your context. Each gets scored 1 to 5 by the evaluator (1 = does not meet bar, 3 = meets bar, 5 = exceeds bar).
The questions are the easy part. The process is the hard part. A workable timeline and operating model:
Some teams run a paid pilot before full commitment. The pilot is useful when the vendor has not been run on your data type before; it is overkill when the vendor has clear segment fit and strong references. Use judgment.
For each of the 60 questions, score on a 1 to 5 scale.

The category score is the average of the question scores in that category. The composite is the weighted sum of the category scores.
Important: any 1 in the data foundation, identification, or integrations categories is a deal-breaker, regardless of composite. A vendor that fails the data foundation cannot be saved by strong commercial terms. Filter for hard deal-breakers before letting the composite drive the call.
Sandbox demos are theatrical performances. Real demos are evaluations. Insist on a live evaluation against a slice of your CRM data, even if it requires a one-page DPA to share.
Vendors will provide their best three references and avoid surfacing churned customers. Your network has churned customers; find one. The post-mortem from a churn is more useful than three glowing testimonials.
If the champion sets the weights, the weights match the vendor the champion already prefers. Set the weights as a committee before you score any vendor.
The biggest sources of total-cost-of-ownership variance in ABM platforms are not list price; they are implementation cost, lock-in clauses, expansion pricing, and data-export costs at end of contract. Read the full MSA, not just the order form.
Vendors evolve. The vendor that won your RFP three years ago may not be the right vendor for your current motion. Plan a vendor review at every renewal, even if it is a one-week sanity check rather than a full RFP.
Every shortlist vendor has strengths and weaknesses. Document them in writing in the recommendation memo. The team that inherits this decision two years later will thank you; the team that has to make a similar decision next year will reuse your scoring.

8 to 12 vendors on the longlist; 3 to 5 on the shortlist. Longlists smaller than 8 miss vendors the team did not know to consider; shortlists larger than 5 cannot get the deep evaluation each one deserves.
Optional. Paid pilots are useful when the vendor has not been run on your data type before, when the integration scope is large, or when the team wants risk-reduction before a multi-year commitment. Pilots are overkill when the vendor has clear segment fit and strong references.
The data-foundation questions. Vendors that fail on identity resolution, account-graph quality, or data freshness cannot be rescued by strength elsewhere. Score data foundation first; cut anything that fails the bar.
Yes. The RFP is not just a vendor-comparison tool; it is a documentation tool that captures the operating commitments the vendor is making. If the vendor refuses to answer the RFP questions in writing, that is information. If the vendor answers and the answers contradict the sales pitch, that is information too. Do the RFP regardless.
Three sources work in practice. The vendor will provide a curated list (use these but discount them slightly). Your network and LinkedIn produce uncurated references (use these for the unvarnished view). User communities (Pavilion, RevOps Co-op, Wizards of Ops) provide segmented references who often share post-mortems candidly.
